As a Project Analyst you will be responsible for the planning, coordination and analysis of complex Market Quality data with emphasis on improving NPS customer satisfaction and product reliability. You will work closely with management to define requirements for new and improved data analysis and data reporting solutions. You will also develop Complex Business Objects queries and reports to obtain required Market Quality Data as well as analyze data and provide management summaries and recommendations. You will be responsible for ensuring Web AFR reporting system and required product / part family tables are maintained. You will generate accurate product reliability data. Identify database and report issues and work with ISSA to resolve. You will also be required to coordinate bi-weekly AFR review meetings. Maintain ITS Customer Satisfaction, VP Hotline and ASPPM databases as well as coordinating weekly cross organizational customer satisfaction meeting with emphasis on root cause corrective improvements. You will work closely with ISSA to ensure accurate data and prepare Management level &amp;quot;KPI&amp;quot; presentations which include executive summaries, product trend and pareto charts and corrective action logs.  You will also design and implement new methods, processes and procedures to improve the processing and flow of Market Quality data within and across organizations. You will assist MQ Senior Business Liaison in Database migration and improvements and coordinate third party supplier activity as required. A must have is the ability to understand assignments, work independently with minimal supervision and consistently meet completion dates.

The Administrative Assistant provides advanced-level secretarial /administrative support for the Zoological Society of San Diego’s Director of Membership and the Development Communications/Design team. Final applicants will be administered computer skills and proofreading tests.


Required qualifications include:


    * At least 3 years of administrative/secretarial experience

    * Must have excellent organizational, customer service, editing, proofreading, grammar,   math, and typing skills.

    * Must be detail-oriented, competent in composing routine correspondence, and have basic knowledge of computer     systems, which includes spreadsheets and presentations.  (Windows, Word, Excel and PowerPoint preferred). 

    *Experience with purchasing and invoicing systems (preferably electronic).

    * Ability to coordinate budget preparation and track expenditures.

    * Must be able to coordinate with other departments and outside vendors as needed.

    * Ability to transcribe interview and dictation tapes, develop computerized report layouts, and prepare proposals and charts.

JOB REQUIREMENTS: 
 
The Administrative Assistant performs all job assignments with a positive attitude that reflects the Zoological Society’s mission and vision of connecting people to wildlife, conservation and pursues green/conservation practices when feasible.  The Administrative Assistant provides secretarial/administrative support of moderate difficulty; coordinates various office activities; and does not formally supervise support staff.

Provides secretarial support; schedules assigned director's/manager's calendar; may assign work schedules to staff as appropriate; screens and assists visitors/callers; serves as receptionist as needed; produces a variety of reports and documents; reviews and distributes mail; composes/edits routine correspondence; maintains specialized databases, scheduling systems, records, and files; makes travel and accommodation arrangements for staff and visitors; coordinates departmental/office activities, services, and facilities with contractors, vendors, governmental agencies, other departments and organizations, media, and the public as appropriate; works with donors and volunteers as assigned; arranges meetings and takes minutes as required; may provide lead guidance to clerical staff; and maintains a variety of contacts in order to respond to inquiries and requests. Purchases product from suppliers at the lowest cost consistent with considerations of quality, reliability of source and urgency of need.  Responsible for maintaining adequate supplies of inventory to meet customer service level expectations while minimizing inventory loss due to spoilage/obsolescence and Days Inventory on Hand (DIO) to company expectations. Act as the liaison with the operations department.

Candidate will be responsible for the following:
Daily review of product movement forecasts based on seasonality, market trends, and probability of anticipated sales.  Maintain ordering of various product lines from numerous vendors on a daily basis.  Purchase products within USF standards to maintain a certain number of turns per year at the best possible price for the best possible product. Verify quantity and quality of stock received from manufacturer.  Request refunds from vendors to compensate for losses incurred with &amp;quot;dumped and damaged&amp;quot; product. Discontinue and return products to manufacturers that do not sell.
 
Maintain a 99.5% or higher service level to our customers.  Expedite delivery of product by communicating with buyers, vendors and transportation companies.  Verify inventory status and delivery schedules.  Source and maintain freight rates.  Successfully resolve problems with delivery, supply, invoicing, rejections, etc.
 
Verify pricing via matching purchase orders to customers.  Verify vendor invoice reconciliations.
 
Work with multiple departments and positions including Sales, Specialists, bid department, receiving department, accounting, marketing and vendors.  Assist sales force with questions concerning product specifications and additions/deletions to inventory product lines.  Ensure current product literature is available for sales personnel.  Work with other department buyers to ensure that purchasing is maintained.  Provide Bid Manager with product information, pricing, availability, and vendor information. 
 
Manage a variety of product lines through inventory turns, excess and obsolete inventory positions.  Ensure a quality product by keeping existing inventory within proper expiration codes.  Purchasing product through buy-in opportunities in compliance with corporate direction and marketing plan.  Take steps to reduce dead inventory according to department policy, requesting vendor rebates, return product to vendor, and remind sales reps of their original forecast.  Review quality concerns on perishable overstock inventory and recommend plan for disposition of product.  Maintain Daily Inventory status and usage.  Create weekly hot sheets to aid in the sale of short dated products.  Keep excessive inventory to a minimum. Monitor dead inventory.
 
Negotiate simple deals, recommending terms and conditions for contracts that will be written by more senior purchasing personnel.  Enter into simple contractual agreements recognizing what are acceptable and unacceptable terms and conditions in most purchasing transactions.

Related Experience:   Minimum three years purchasing experience, foodservice purchasing experience preferred.
